Configuring third-party conferencing software
You can use the following third-party conferencing software with SMART TeamWorks Room:
Microsoft Teams
Zoom
Cisco Webex
Google Meet
Note
By default, core components for the software listed above are installed with SMART TeamWorks Room, and no additional downloads are required if you use this conferencing software. If the TeamWorks room will only be joining scheduled meetings, no further setup is required for conferencing software. Accounts for the room will need to be created and configured if you want to use any of the above conferencing software in TeamWorks to host ad hoc meetings.
SMART TeamWorks installs Google Chrome and sets it as the default browser. SMART TeamWorks then uses the integrated web browser to join Teams meetings, which provides sufficient functionality for hosting and joining.
Alternatively, you can download and install the latest Microsoft Teams desktop app for Windows 10 or 11, then sign in using a Teams account dedicated to the room. If you choose this option, configure the app for optimal performance with SMART TeamWorks Room.
Tip
Disable the chat feature for Microsoft Teams accounts that are logged in to TeamWorks Room. This prevents unwanted notifications and prevents the chat history from being available outside of the meeting.
To configure Microsoft Teams to work with SMART TeamWorks Room
Create a licensed, dedicated Microsoft Teams account for the TeamWorks Room.
Use these credentials to sign in when prompted during configuration or in the SMART TeamWorks settings.
If you are using TeamWorks’ default installation of Microsoft Teams, proceed to step 3.
OR
If you wish to install the full Microsoft Teams client, complete the following steps:
Download and install the latest version of Microsoft Teams for Desktop.
Open Settings and click General.
Under Application, select the following options:
Auto-start application
Open application in background
On close, keep the application running
Register Teams as the chat app for Office (requires restarting Office applications)
Validate the configuration by starting an instant meeting from the SMART TeamWorks launcher and then leaving it. If you notice Teams is still running (you will see the minimized meeting window on your screen), tap or click the leave button. When prompted with the message “Are you sure you want to leave?”, select the Don’t show again option and click or tap Leave.
Important
We suggest you complete this step the during initial configuration of the meeting room computer and SMART TeamWorks. If you do not complete this step, Teams may not close properly when users leave the meeting and may continue to run even after they’ve left.
When applied as a Microsoft Teams policy, you can disable chat from Teams accounts. Chat functionality within a meeting is still available to users, either when they use the room account to joins as a guest, or when they start an ad hoc meeting from the room.
To disable chat on Microsoft Teams room accounts
Follow the steps provided by Microsoft to create a custom messaging policy for Microsoft Teams. When choosing settings for the policy, disable the Chat option.
Assign the policy to the room accounts individually, to a group, or to a batch of users. See Microsoft’s support page for details on each method.
If you’re using Zoom, you don’t need to install the Zoom desktop client. SMART TeamWorks includes Zoom support through the Zoom Software Development Kit (SDK) for Windows.
To configure Zoom to work with SMART TeamWorks Room
Download and install the latest version of Zoom Desktop Client.
After it’s installed, sign in to Zoom with the room’s dedicated Zoom account.
Tip
Select Keep me signed in.
Open Settings and select General.
Select the following options:
Start Zoom when I start Windows
Silently start Zoom when I start Windows
When closed, minimize window to the notification area instead of the task bar
Show user profile icon next to in-meeting chat messages
Visit marketplace.zoom.us and sign with the room’s Zoom account.
Enter SMART TeamWorks in the search field.
Enable Approve the install of the app.
Select All users on this account.
Close the browser and open the TeamWorks Wizard.
In the third slide, Video conferencing application, enable Zoom and click Connect.
Sign in with the room’s Zoom account.
Open Settings, and then click General.
Select Silently start Zoom when I start Windows.
Check the default microphone, speaker, and camera settings.
In TeamWorks Room, tap New Video Call.
Disable any unnecessary notifications Zoom shows and make sure Zoom is functioning properly.
If you’re using Cisco Webex, configure it for best performance with SMART TeamWorks Room.
To configure Cisco Webex to work with SMART TeamWorks Room
Go to webex.com and sign up for a Webex plan.
Use these credentials to sign in when prompted during configuration or in SMART TeamWorks settings.
If you are using TeamWorks’ default installation of Microsoft Teams, no further configuration is necessary.
OR
If you wish to install the full Webex client, complete the following steps:
Download and install Webex for Windows.
Sign in with the room’s dedicated Webex account.
Enable the SMART TeamWorks Room extension.
SMART TeamWorks Room automatically installs the TeamWorks Room Chrome extension during installation. Make sure you confirm the request to enable the extension when you open Chrome for the first time or from Chrome’s extension management panel.
To configure Google Meet to work with SMART TeamWorks Room
Create a dedicated Google account for the room.
Download and install the Google Chrome browser.
Go to google.com and click Sign in.
Sign in with the room’s dedicated Google account.
